Toast IQ vs Custom AI Agents: What Toast IQ Does Well and Where Custom Agents Fit

A neutral comparison for owners and operators of 2–10 location restaurant groups: when Toast's built-in AI is enough, and when agents that work across your other systems pay for themselves.

Toast IQ vs custom AI agents: the short answer

Start with Toast IQ. It's included with Toast POS, it already knows your sales, labor and menu data, and it won't change your configuration without your confirmation. For a restaurant group that runs most of its business inside Toast, including Toast's own scheduling, invoicing and marketing products, Toast IQ may be all the AI the operation needs right now.

Custom AI agents earn their cost when the work crosses systems Toast doesn't run for you: invoices that land in a shared inbox, a scheduler such as 7shifts, an accounting platform, Google and Yelp reviews, catering inquiries by phone and email. They also fit when the same check has to run across every location on a schedule and follow your own rules and approvers. That cross-system gap is what our work on AI for restaurant groups focuses on. Many groups will use both.

What Toast IQ can do in 2026

Toast describes Toast IQ as its AI assistant for restaurants and retailers, available in Toast Web and the Toast Now app. Per Toast's product page and Help Center as of October 2026, Toast IQ can:

    • answer plain-language questions about sales, labor, menu performance, guest trends, discounts, voids and upsells, down to modifier level
    • surface insights about your business and local market in a For You feed
    • with your confirmation, update menu items, adjust stock, mark items out of stock, edit shifts, set up upsells and change kitchen routing or front-of-house settings
    • draft email and SMS campaigns (availability varies by country); Toast IQ creates drafts only and never sends or schedules them
    • build an entire schedule on Toast's Scheduling Pro tier

Two related pieces matter for multi-unit operators. Toast IQ agents, in early access with select customers, run recurring checks such as labor running hot and send push or email updates, but cannot change anything in Toast on their own. Toast IQ Grow is a separately sold marketing package with Marketing, Reviews, Offers and digital growth agents plus a dedicated marketing expert, and Toast says you approve anything that goes out.

Access follows each user's Toast Web permissions. Confirmation before every change is the right design, and it's the same principle we build into custom agents.

Where custom agents fit for 2–10 location restaurant groups

Operator Intelligence's Restaurant AI Gap Report 2026 is written for groups of two to ten locations: too complex to run on memory, too small for an enterprise AI program. These are the cross-system workflows we would scope first.

    AP invoice exceptions

If invoices already flow through xtraCHEF by Toast, start there. When they arrive as emailed PDFs or phone photos into another system, an agent checks each line against agreed pricing and routes price creep or short shipments to a person before payment.

Labor vs forecast on another scheduler

Toast IQ can build schedules on Toast Scheduling Pro. On 7shifts or another scheduler, an agent compares each draft schedule with Toast sales history and briefs the GM before it's published.

    Food cost across locations

Joins counts from your inventory tool, vendor invoices and Toast sales each week, then names the items driving variance at each location.

    Reviews into operations

Toast IQ Grow drafts review replies. An agent adds the operations side: tagging recurring complaints by location and routing them to the right GM or kitchen lead.

    Phones, catering and events

Captures inquiries from call notes, web forms and email, qualifies them and drafts a quote from your packages. A person sends every quote.

    The owner's weekly brief

Combines Toast sales and labor with payroll, accounting and review data into one page per location, so outliers surface early in the week.

How custom agents connect to Toast

Custom agents read Toast through Toast's own API rather than around it. Toast's Help Center describes Standard API access as read-only credentials for restaurant customers, included in Restaurant Management Essentials for US customers and billed separately elsewhere. Credentials can be scoped to selected locations, and Toast's developer guide lists read scopes for orders, menus, labor, stock, cash management, kitchen and configuration data. Write access goes through your Toast account representative.

That shapes the design. The agent reads Toast and your other systems, cross-checks them, and writes its output where a person acts on it: a GM brief, a flagged invoice, a draft reply. When the fix belongs in Toast, a manager makes it, often by asking Toast IQ. We build these as n8n workflows or custom AI agents on Claude or OpenAI models; see our n8n consulting page for the workflow side.

What we can show restaurant operators today

Operator Intelligence does not have a published restaurant case study yet, so we won't claim restaurant results. What we can show is the same build pattern working in other industries, covered in our AI enablement by industry hub:

    • Validation and exception routing: for Mail New England, an n8n workflow checks each client file against a master, emails clients the errors and routes corrected files to print. It removed about 20 hours a week of manual review in a three-week build. AP invoice checking has the same shape.
    • Multi-channel monitoring: for Wizard Leads, a Wizard-affiliated company, a Claude-powered app monitors 15+ channels and scores leads; lead opportunities rose 35% in six months. Review and catering triage is a smaller version of the same job.
    • Requests with a human gate: at ROAM Luggage, Claude executes prioritized Slack and email requests via MCP, and a team member reviews and publishes. Critical site updates went from days to minutes.

    Frequently asked questions

    Is Toast IQ free?

Toast's product page says Toast IQ is included with Toast POS at no additional cost. Toast IQ Grow, the marketing package with agents and a dedicated marketing expert, is sold separately, and some features depend on your plan or region.

Can Toast IQ make changes without approval?

Toast says Toast IQ will not change your configuration without explicit confirmation, and what each user can see or do follows their Toast Web permissions. Toast IQ agents in early access only send updates and recommendations.

Does Toast IQ work with 7shifts, Restaurant365 or QuickBooks?

Toast describes Toast IQ as working from your Toast data and across Toast products. Its pages don't describe Toast IQ reading other vendors' systems, which is where custom agents usually come in.

Can a custom agent write changes into Toast?

Toast's Standard API access is read-only; write access goes through your Toast account representative. We usually keep changes in Toast with a manager, often using Toast IQ, and let agents do the cross-system checking.

    Will custom agents replace Toast?

No. Toast stays the system of record for orders, menus and labor, and we use Toast IQ wherever it does the job. Agents cover the work between Toast and your other vendors.

How long does a restaurant agent pilot take, and what does it cost?

Engagements usually start with a two-week AI readiness assessment, and a quick-win pilot typically ships four to six weeks later. Cost depends on locations, systems and how much the agent does without approval; see how we price work.
