AI Consulting Pricing: How We Price Automation, Custom AI and Training

Operator Intelligence scopes every engagement to your workflows, systems and team. Here's how our engagement models work, what drives cost and what's included, so you know what a proposal will cover before you ask for one.

How AI consulting pricing works at Operator Intelligence

Operator Intelligence prices each engagement from a scoped proposal, not a rate card. Two companies that both ask for “an AI agent” can need very different builds. One agent reads a single inbox and updates a spreadsheet. Another reads from a CRM, writes to an ERP and needs a human approval step before every action. A flat price would overcharge the first company or underscope the second.

Every Operator Intelligence proposal names the workflows in scope, what we'll deliver, the timeline, what we need from your team, how we'll measure success, and the fees. Software subscriptions and AI model usage are listed separately, so you can see the full cost of running what we build.

The delivery pattern is the same on every engagement: pilot one workflow, prove the numbers, then scale with humans in the loop. Our four-phase process (Discovery, Opportunity Mapping, Quick-Win Pilots, Scale and optional support) explains each step.

    Engagement models and typical durations

AI enablement engagements usually start with the readiness assessment. Training and agentic digital strategy work can also stand on their own.

What drives the cost of AI consulting and automation

These six factors shape every Operator Intelligence proposal.

    Number of workflows or agents

Each workflow or agent needs its own discovery, build, testing and handover. One well-chosen workflow is the lowest-cost way to start and the fastest way to prove value.

    Integrations

Every system an automation reads from or writes to, such as a CRM, ERP, ecommerce platform, inbox or accounting tool, adds build and testing time. Systems with clean APIs or existing MCP servers are quicker to connect than legacy tools.

    Data quality

Clean, structured data lets an agent act with confidence. Messy or scattered data needs cleanup or validation steps first, which adds time to the build.

    Autonomy level

An agent that drafts work for human approval is simpler to build than one that acts on its own. More autonomy means more guardrails, testing, logging and monitoring.

    Compliance and security

Client confidentiality rules, regulated data, single sign-on, audit trails or self-hosting requirements add design and review work. Law firms and businesses handling guest or customer personal data typically need more of it.

Team size and format, for training

AI training cost depends on how many people take part, whether sessions are in person or virtual, and how many configured AI instances we build for the team.

What's included in an Operator Intelligence engagement

    • Discovery and scoping with the people who do the work
    • Design, build and testing on your real data and tasks
    • Human approval gates wherever your team wants them
    • Documentation of how each workflow or agent works
    • Handover training so your team can run, adjust and trust what we build
    • Ownership: your company owns the workflows, agents and configured AI instances we build

What's not included: costs billed at cost or paid directly

These costs depend on your usage and your choice of tools, so every proposal lists them separately.

    • AI model and API usage, such as Claude or OpenAI, billed at cost or paid directly to the provider
    • Software subscriptions, such as n8n, Make or Zapier plans, AI assistant seats, Shopify apps or Klaviyo
    • Hosting for self-hosted tools or custom apps
    • Ad spend for paid media work
    • Third-party data, enrichment or lead sources
    • Ongoing support after launch, unless your proposal includes it

How we keep AI consulting low-risk: pilot first, prove the numbers

Operator Intelligence limits risk by starting small. Instead of a large transformation contract, we pick one high-volume, rules-heavy workflow, document how it runs today, automate it with humans in the loop, and compare the results. You decide whether to scale with real numbers in hand.

Recent builds show how quickly a focused pilot can ship. Mail New England's n8n file-validation workflow took three weeks and removed about 20 hours a week of manual review. ROAM Luggage's agentic Shopify management took six weeks and cut ongoing website management costs by more than 90%. Results vary by company and workflow, which is why we scope before we quote. AI training cost: what changes the price

AI training cost at Operator Intelligence depends on the program, the number of people and how much we configure for them. An executive AI workshop is a half-day or full-day session for a leadership team. A team AI bootcamp is a 2–4 week cohort in which each participant ships working assets on real tasks. AI workspace setup builds configured Claude Projects, ChatGPT plugins or Gemini skills for a team in 2–4 weeks, and migrates existing custom GPTs and Gems to the new formats.

Every Operator Intelligence training program ends with configured AI instances running in your team's own accounts, so the fee covers build work as well as teaching time. Migrating existing custom GPTs and Gems is scoped the same way; see our custom GPT and Gems migration guide. Seats for the AI tools themselves are paid directly to the vendor.

    Frequently asked questions

How much does AI consulting cost?

AI consulting cost depends on scope: how many workflows or agents, how many systems they connect to, the state of your data, how much autonomy the AI has, and your compliance needs. Operator Intelligence doesn't publish a rate card because those factors vary widely between companies. After a 30-minute discovery call, we send a scoped proposal with fees, timeline and deliverables.

Why doesn't Operator Intelligence publish prices?

A single published price would either overcharge simple projects or underscope complex ones. We'd rather price the work you actually need once we understand your workflows. The engagement models and durations on this page tell you what to expect before you ask, and each of the three offerings on our Operator Intelligence services page is scoped the same way.

What does an AI automation cost to run after launch?

Ongoing costs are usually software subscriptions (such as n8n, Make or Zapier), AI model or API usage, and any hosting. Those are billed at cost or paid directly to the vendor, and each proposal lists them separately. Optional support from Operator Intelligence covers monitoring, fixes and changes.

    Can we start small?

Yes. Operator Intelligence engagements usually start with a two-week AI readiness assessment, then a single quick-win pilot that ships in four to six weeks. If you want a free first step, the online AI readiness assessment takes about 5 minutes and recommends three first automations.

Who owns what Operator Intelligence builds?

You do. The workflows, agents and configured AI instances we build belong to your company. We document them and train your team at handover, so your team can run and adjust them.

What do you need from us to send a proposal?

A 30-minute discovery call and, ideally, a short walkthrough of the workflow you want to improve and the systems it touches. Results from the free assessment help too. For larger programs, the two-week assessment is how we scope accurately; see AI consulting for small and mid-sized businesses.
