ChatGPT and Gemini training
ChatGPT Training for Business Teams, Plus Gemini for Google Workspace
For companies standardized on ChatGPT or Google Workspace. We train your team on its real work, then leave configured projects, assistants and a shared prompt library in your own accounts, built to carry over as OpenAI and Google change their tools.
ChatGPT training for business teams that ends with configured tools
Most ChatGPT training for employees is a feature tour and a prompt cheat sheet. People try a few prompts, face a blank chat box the next Monday and drift back to old habits.
Operator Intelligence (OI) runs ChatGPT and Gemini training the way we run all of our AI training: we teach on your team's real tasks, then configure the tools before we leave. Each team finishes with working projects and assistants in your own ChatGPT Business, ChatGPT Enterprise or Google Workspace account, a shared prompt library it helped write and clear rules for what data goes where. We work with lean $1M–$10M companies and select Fortune 1000 teams, with no large-cohort minimum.
What changed in fall 2026: custom GPTs move to plugins, Gems move to skills
Two platform changes shape every ChatGPT or Gemini rollout right now, and both point the same way: away from single-purpose custom assistants and toward reusable skills.
- OpenAI: OpenAI's Help Center says it is planning to retire custom GPTs and help creators migrate them to plugins. A ChatGPT plugin can bundle skills, which hold instructions and workflow guidance, with connected apps. OpenAI's retirement FAQ lists a scheduled retirement date of December 11, 2026, and timing can differ by plan and workspace.
- Google: Google's Workspace Updates blog (September 30, 2026) says skills will eventually replace Gems for tailoring Gemini to specific tasks. For business and enterprise accounts, Gems stop working no sooner than March 1, 2027, and remaining Gems migrate to draft skills that their creators review. Gemini Apps Help says Gems on personal Google accounts begin converting in November 2026.
The lesson for training: the valuable part of a custom GPT or Gem was never the container. It was the instructions, the curated knowledge files and the test cases behind them. We build those as portable assets that move into plugins and skills with little rework, instead of building dozens of new GPTs on a platform that is retiring them. Dates move, so we check your workspace notices during scoping.
The ChatGPT and Gemini training curriculum
Modules follow the 4D AI Fluency Framework, developed by Anthropic with Rick Dakan and Joseph Feller, applied to whichever platform your team uses.
Fundamentals and task mapping
Where large language models help, where they fail and which tasks in each role are worth delegating. Each person picks two or three real tasks to build for.
Prompting as context design
Giving ChatGPT or Gemini the background, examples, constraints and definition of done a task needs. This is prompt engineering, taught without tricks.
ChatGPT projects
Grouping chats, reference files and instructions in a project, and sharing projects with teammates on ChatGPT Business and Enterprise.
Assistants: GPTs, plugins and skills
Writing instructions and knowledge for reusable assistants, and moving existing custom GPTs into plugins and skills.
Gemini in Google Workspace
Building Gems or skills with knowledge from Google Drive, and using Gemini in the side panel of Gmail, Docs, Sheets and Drive.
Checking output and data rules
Review checklists for each assistant, catching confident errors, and what never goes into a prompt, tied to your AI acceptable use policy.
ChatGPT vs Gemini for teams: the building blocks
Both platforms change quickly. This reflects OpenAI and Google help pages as of October 2026; we confirm details against your plan.
| ChatGPT (OpenAI) | Gemini (Google) | |
|---|---|---|
| Business plans | ChatGPT Business (renamed from ChatGPT Team in August 2025) and ChatGPT Enterprise | Google Workspace business and enterprise editions with Gemini |
| Shared topic workspace | Projects with shared instructions and files, shareable with teammates on Business and Enterprise | Gems with knowledge from uploaded files, Google Drive or a NotebookLM notebook |
| Reusable assistant | Custom GPTs, being replaced by plugins | Gems, being replaced by skills |
| Reusable procedure | Skills inside plugins | Skills, which can be stacked in one prompt |
| Where people use it | ChatGPT, plus apps connected to other tools | The Gemini app and the side panel in Gmail, Docs, Sheets and Drive |
| Good fit for | Companies standardized on ChatGPT | Companies that run on Google Workspace |
Assistants we configure for ChatGPT and Gemini teams
Built from your documents during training and tested on real tasks before handover.
Proposal and RFP project
Pricing rules, case studies, product sheets and past winning proposals in one shared ChatGPT project. Reps draft first versions, and a reviewer checks claims before anything goes out.
Inbox and follow-up helper
A Gem or skill with your tone rules, standard answers and escalation criteria, used from the Gemini side panel in Gmail to draft replies for a person to send.
SOP and policy assistant
Your handbook, SOPs and policies as knowledge, with instructions to cite the source document and to say when the answer isn't there.
Weekly numbers brief
A procedure that turns a sheet of weekly metrics into a short brief in a set format, with a checklist for verifying each figure against the sheet.
Prompt libraries that carry over between tools
A team prompt library is the most portable asset a training program leaves behind. Operator Intelligence organizes each library by role and task, and every entry has five parts: the prompt, the context it needs, an example input and output, a short review checklist and a named owner.
Because the entries are plain text, they work in ChatGPT, Gemini or Claude, and they become the raw material for plugins and skills as those replace GPTs and Gems. If you'd rather have the assistants built for you, our AI Workspace Setup service configures, tests and documents every instance in two to four weeks.
Microsoft Copilot and mixed-tool companies
Many companies run more than one AI tool: ChatGPT in sales, Gemini in a Google Workspace finance team, Claude for writing-heavy work. Operator Intelligence trains on the tools you already pay for and recommends by job, not vendor preference. Our Claude vs ChatGPT for business comparison breaks that down by team. Microsoft 365 companies can scope Microsoft Copilot training on request.
What we need from you
- A named owner for ChatGPT or Gemini inside your company
- Business-tier seats for participants: ChatGPT Business or Enterprise, or Google Workspace with Gemini
- An admin available for sharing, plugin and app settings
- Two or three real tasks per participant, chosen before kickoff
- Source documents for those tasks, with sensitive data removed or approved
- A list of the GPTs or Gems your team already relies on, with their owners
- About three hours a week per participant during the program
How we measure ChatGPT and Gemini adoption
Baseline
Before training: target tasks, time spent on each, current use and a 4D self-check per participant.
Handover
Every assistant passes a test set of real tasks, and each person shows their assets on live work.
Days 30, 60 and 90
Active use of each assistant, prompt library additions and time on target tasks against the baseline, reported to the sponsor.
Frequently asked questions
Should we still build custom GPTs in late 2026?
Only where a team needs one before plugins reach your workspace, and with migration in mind. OpenAI plans to retire custom GPTs in favor of plugins, so we write instructions and knowledge files as portable assets and test the migration path in your workspace.
What happens to the Gems our team already uses?
Google says remaining Gems migrate to draft skills, which creators then review and turn on. On Workspace business and enterprise accounts, Gems keep working until at least March 1, 2027. We inventory your Gems, keep the useful ones and rebuild them cleanly as skills.
How do you create a Gemini Gem for business?
In the Gemini web app, open Gems, choose New Gem, give it a name and instructions, add knowledge files from your device or Google Drive, then save and test it. Because Google is moving to skills, we write the instructions and knowledge so they carry straight into a skill.
Is our data safe in ChatGPT and Gemini?
We work inside your business-tier accounts, under your admin's controls, and set sharing and app access to the least each task needs. We review OpenAI's and Google's current business data terms with you and write data rules into your AI policy.
Do you offer Microsoft Copilot training?
Yes, on request for Microsoft 365 companies. The approach is the same: train on real tasks, configure the tools and measure use against a baseline. For company-wide rollouts across several tools, see the company-wide AI upskilling program.
How long does ChatGPT or Gemini training take?
A workshop is a half or full day. A full team program runs two to four weeks, often as a Team AI Bootcamp, and measurement continues to day 90.
What does ChatGPT training for business teams cost?
Cost depends on headcount, modules, the number of assistants we configure, the platforms involved and in-person versus virtual delivery. We don't publish fixed prices; see how we price and request a scoped proposal.
