AI Enablement & Custom Solutions
AI Enablement & Custom AI Solutions for Lean, High-Performing Teams
For founders, operators and leadership teams at $1M–$10M companies who want AI working inside real workflows, not sitting in unused licenses. We learn how the business runs, build what fits, and train your people to own it.
What AI enablement means at Operator Intelligence
AI enablement is the work of getting a company's people, processes and tools to use AI in daily operations, with results you can measure. It combines three things: redesigning a workflow so AI has a clear job, building or configuring the AI that does that job, and training the people who supervise it. Licenses or a single workshop cover one of the three.
Most companies that say AI isn't working for them bought the tools first. Seats get assigned, a few people draft emails with them, and the workflows that eat the most hours stay as they were. AI enablement starts from the other end: the workflow, its owner, and the number you want to move, whether hours, errors, response time or revenue.
Our glossary guide to what is AI enablement goes deeper on the definition and how it differs from AI adoption.
AI enablement vs AI licenses vs one-off AI training
Three common ways companies try to get value from AI, and what each one tends to produce.
| Approach | What you get | What tends to happen | Enough on its own when |
|---|---|---|---|
| Buy AI licenses | Seats in ChatGPT, Claude, Gemini or Copilot | Light use for writing and search; core workflows unchanged | The team is already fluent and self-directed |
| One-off AI training | A workshop or course on prompting | A spike in usage that fades without configured tools and follow-up | You need baseline literacy before anything else |
| AI enablement | Redesigned workflows, custom agents and automations, configured workspaces and trained owners | Specific processes run faster with fewer errors, measured against a baseline | You want hours, errors or revenue to move, not just usage |
How Operator Intelligence delivers AI enablement in four phases
Every engagement follows the same pattern: pilot one workflow, prove the numbers, then scale with humans in the loop.
1. Discovery
Working sessions with leadership and the people doing the work, walkthroughs of key workflows, and a review of your systems and data. Discovery is the core of the two-week AI readiness assessment.
2. Opportunity Mapping
Each candidate workflow is scored on ROI potential, feasibility, speed to ship and operational risk. You get a prioritized backlog and one or two pilot recommendations with KPIs and a measurement plan.
3. Quick-Win Pilots
We build and deploy one or two pilots in four to six weeks, with human review where it matters, and report before-and-after numbers against the baseline.
4. Scale & optional support
Proven pilots expand into a phased program, usually three to six months, with each build scoped and quoted on its own. An optional retainer covers monitoring, maintenance and improvements.

Learn moreAI enablement agency for $1M–$10M companies
Operator Intelligence works as an AI enablement agency for $1M–$10M companies: a small, senior team that handles the strategy, the builds and the training inside one engagement. Most companies this size can't justify a full-time AI hire, and a strategy deck alone rarely changes a workflow. An AI enablement agency should close that gap and leave the capability with your team. Our services overview shows how the three Operator Intelligence offerings fit together.
When you compare AI enablement services, check for six things:
- Workflows before tools. The engagement starts with how work gets done today and a baseline number, not a license list.
- Measured client results. Named cases with before-and-after numbers, such as Mail New England's ~20 hours a week of manual review removed.
- Builds in your accounts. Workflows, code, prompts and documentation you own and can run without the agency.
- Training as part of delivery. Your people leave able to supervise and improve what was built.
- Tool neutrality. Claude, OpenAI, Gemini, n8n, Make or Zapier chosen to fit the job, not a reseller arrangement.
- Human review where the risk is. Approval steps on anything that moves money, contacts customers or publishes.

Who AI enablement is for
Operator Intelligence works with founders, operators, leadership teams and entrepreneurs at high-performing, lean companies, typically $1M–$10M in annual revenue. These companies have real volume and real systems but no internal AI team, so the same few people who run the business would otherwise have to figure out AI on nights and weekends. We also take on select Fortune 1000 teams that want a business unit enabled quickly, without a multi-year transformation program.
Industries where we bring the most context, each with its own playbook in our AI enablement by industry hub:
- Promotional products distributors, where co-founder Luke Freeman has spent 20+ years in distribution and sales
- Restaurants and multi-unit hospitality groups
- Franchisors and multi-unit franchise operators
- B2B sales organizations, marketing agencies, coaching businesses and online communities, and law firms
### When AI enablement is the wrong next step Check three things before hiring anyone, including us. If nobody can own the work internally for a couple of hours a week, pilots stall after launch. If the process changes every week, write it down before you automate it. And if the task happens only a few times a month, a build rarely pays back; a configured AI workspace and team AI training will do more for less. The three case studies above look different: an n8n file-validation workflow for Mail New England, a direct mail company; a Claude-powered lead intelligence app for Wizard Leads, a Wizard-affiliated company; and agentic Shopify management for ROAM Luggage. Each followed the same AI enablement pattern: one workflow with a clear owner, a baseline measured before the build, a human checkpoint where the risk lives, and a handover the client team understands. Each shipped in six weeks or less. 2iC (2nd In Command), a 13-agent system for Wizard Creations, co-founder Luke Freeman's distributorship, applies the same pattern across most of a promo order lifecycle.
“...this automated workflow completely removed that entire process from our team's hands, freeing them up to focus elsewhere.”
AI training is built into every AI enablement engagement
AI enablement fails when the tools arrive and the people don't change how they work. That is why Operator Intelligence runs AI training and fluency programs alongside the builds, and why every engagement ends with configured AI instances in your team's own accounts: Claude Projects and connectors, reusable skills for ChatGPT, Claude and Gemini, team prompt libraries and operating playbooks set up for real tasks.
The people who build also teach. Chad Westleigh has nearly 20 years in digital strategy, 5,500+ hours of hands-on AI work over the last two years, an MIT Professional Education certificate in Applied Agentic AI for Organizational Transformation, and Anthropic AI Fluency certificates. Luke Freeman brings 20+ years in promotional products distribution and $500M+ in career sales. Read more about the founders.

Frequently asked questions
How much does AI enablement cost?
Cost depends on the number of workflows or agents, the systems they connect to, data quality, how much autonomy the AI gets and compliance requirements. The readiness assessment is fixed in scope; each pilot and scale build is scoped and quoted as a discrete project. Software and AI model usage are billed at cost or directly to you. See how we price AI enablement.
How long does AI enablement take?
Most engagements start with a two-week AI readiness assessment. Quick-win automations usually ship in four to six weeks, and larger programs run three to six months. Mail New England's n8n workflow took three weeks; ROAM Luggage's Shopify workflow took six.
How much of our team's time does it take?
The first two weeks need the most time: working sessions with leadership and walkthroughs with the people who do the work. During a pilot, the workflow owner reviews outputs and gives feedback. After launch, one person owns the workflow, checks exceptions and flags changes.
Is our data secure?
We use business and API tiers of AI tools rather than consumer apps, give each integration the minimum permissions it needs, and keep credentials in your accounts. Anything that moves money, contacts a customer or publishes content goes through a human approval step until it has earned more autonomy. For policy, start with our AI acceptable use policy template.
Who owns the workflows and agents you build?
You do. Workflows, code, prompts and documentation live in your accounts, and you can run them without us. Ongoing support is optional, not a lock-in.
Do we need clean data before we start?
No. Most $1M–$10M companies run on a CRM or store platform, email and spreadsheets, and that is enough to start. Discovery includes a data audit, and the first pilot is chosen where the data is good enough today. If a later workflow needs cleaner data, the cleanup becomes part of its scope.
What is the difference between AI enablement and AI consulting?
AI consulting often ends with a strategy and a roadmap. AI enablement includes the roadmap but is judged by what runs in production and whether the team uses it, so Operator Intelligence engagements are built around a working pilot and trained owners.
